Project agreement

Last updated 30 October 2026

This is the template we use for design and build projects. Your own agreement, with your project’s details filled in, is shared with you in your Spectacle Dashboard before any work starts.

This agreement sets out the project we will deliver for you. It works alongside our Terms and Conditions, Acceptable Use Policy and Data Processing Agreement. If it conflicts with our Terms and Conditions, this agreement takes priority for this project.

1. Project summary

Client contact [Name, email]

2. Scope

2.1 What's included

  • [Number] page designs: [list pages, e.g. Home, About, Menu, Gallery, Contact]
  • Responsive design for mobile, tablet and desktop
  • [Features, e.g. contact form, online booking, shop with up to 20 products]
  • Basic on-page SEO: page titles, descriptions, headings and a sitemap
  • Accessibility built in to WCAG 2.2 AA standard, as far as your content allows
  • Adding the content you provide to each page
  • Setting up hosting, SSL and a backup schedule under your Website Care Plan
  • A short walkthrough of how to update your website

2.2 What's not included, unless listed above

  • Writing copy, photography, video or logo design. We can arrange these with trusted local freelancers for an extra fee
  • Domain registration and DNS management. You keep control of your domain, and we tell you what records to set
  • Paid plugins, fonts, stock images or third-party subscriptions
  • Email hosting
  • Ongoing SEO, advertising or social media management
  • Moving content from an existing website, beyond [number] pages

3. How the project runs

  1. Accept and pay the deposit. You accept this agreement in the Dashboard and pay 50% of the project fee. We book your project in once it clears.
  2. Kick-off. We agree goals, pages and style, and you send us your content, logo and brand assets.
  3. Design. We share designs of your key pages. You have up to 2 rounds of revisions.
  4. Approve the design. You approve the design in the Dashboard, and we invoice 25% of the fee.
  5. Build. We build the website on a private preview link and add your content.
  6. Review. You check the preview and send one round of fixes and changes in a single list.
  7. Final sign-off. You sign off the finished website in the Dashboard, and we invoice the final 25%.
  8. Launch. Once the final payment clears, we put the website live and your free year of Care+ starts.

3.1 All feedback, approvals and sign-offs are given through the Dashboard, so there is a clear record of what was agreed and when.

4. What we need from you

4.1 To keep the project on track, you agree to:

  • send all content (text, images, logo, product details) within 14 days of kick-off, in a final, proofread form;
  • reply to requests for feedback or approval within 5 Working Days;
  • give feedback in one consolidated list per round, from one person who can make decisions for your business;
  • give us any access we need, such as to your domain's DNS settings or existing website, when we ask;
  • make sure you have the right to use everything you send us.

4.2 If content or feedback arrives late, the launch date moves back by at least the same amount of time, depending on our schedule.

5. Revisions and changes to scope

5.1 Included in the fee:

Stage Revision rounds
Design 2
Build (before sign-off) 1

5.2 A revision is a change to work within the agreed scope, such as adjusting colours, layout, wording or images. Fixing anything we got wrong never counts as a revision.

5.3 Anything new, such as extra pages, features or a change of direction after the design is approved, is a change to scope. So are extra revision rounds. We will send you a quote for each change through the Dashboard. We will not start the work until you have accepted it, and it may change the launch date.

6. Fees and payment

Payment When it is due Amount
Deposit On accepting this agreement £[50%]
Design approval When you approve the design £[25%]
Final sign-off When you sign off the finished website £[25%]
Total £[total]

6.1 All amounts in this agreement exclude VAT, which we add at the current rate. We start work once the deposit has cleared. Invoices are due within 7 days. Each payment covers that stage of the work and is non-refundable once paid. If a payment is more than 7 days late, we pause the project until it is paid.

6.2 If you have not responded to a request for design approval or sign-off within 30 days, we may treat that stage as approved and invoice for it, as set out in our Terms and Conditions.

6.3 Third-party costs you approve, such as premium plugins, fonts or stock images, are charged at cost and added to the next invoice.

7. Launch, ownership and after launch

7.1 We launch your website once you have signed it off and the final payment has cleared. The final payment is required to launch or release your website and any of the work, including if you decide to host it elsewhere. We will agree a launch time with you. We avoid Fridays and the days before bank holidays, so that we are around if anything needs attention.

7.2 When the project is paid in full, you own the final design and the custom code we wrote for your website, as set out in our Terms and Conditions. You also get a licence to use our own tools and frameworks that form part of it.

7.3 If we host your website, your Care+ plan starts on launch day and is free for the first 12 months. It covers hosting, updates, backups and support. After launch, we keep a close eye on your website for any issues. This monitoring is provided under your Care+ plan and is not part of the project. Your project is complete on launch day. At least 14 days before your free year ends, we send you an automated reminder so that you can pick the Website Care Plan you want to continue with. After that, Care+ continues at its regular price unless you change plan or cancel. If you host your website elsewhere, from launch or at any time during the free year, the free Care+ year ends when your website leaves us. It has no cash value, and we do not give a refund, discount or credit on the project fee for any unused months.

7.4 After launch, support and fixes are provided through your Website Care Plan.

8. Delays, pausing and cancellation

8.1 If we fall behind for reasons on our side, we will tell you in the Dashboard as soon as we know, with a new date.

8.2 You can pause the project by telling us through the Dashboard. When you are ready to restart, we will fit you back in as soon as our schedule allows.

8.3 If we have been waiting on you for more than 60 days, we may close the project on 14 days' notice.

8.4 If you cancel, or we close the project under 8.3, stage payments already made are not refunded, and you owe nothing more. We release the work only once the project has been paid in full.

8.5 If you are buying as an individual and not for a business, you have a 14-day right to cancel, as described in our Terms and Conditions (sections 6.5 to 6.7). We will not start work within those 14 days unless you ask us to, by ticking the box when you accept this agreement. If you do not, we start on day 15. If you ask us to start early and then cancel within the 14 days, you pay only for the work done up to then, and we refund the rest. If we launch your website, or release the finished work to you, within the 14 days, you lose the right to cancel this project.

9. Acceptance

9.1 You accept this agreement by ticking to accept it in the Dashboard and paying the deposit. We record the date, time and account it was accepted from. By accepting, you confirm that you have read and agree to this agreement, our Terms and Conditions, our Acceptable Use Policy and our Data Processing Agreement, and that you have authority to accept for your business. If you are buying as an individual, you can also tick a separate box to ask us to start work within your 14-day cancellation period (section 8.5). Either way, we will email you a copy of this agreement, including your answer, before any work begins.

9.2 Accepted by: [name] for [business], on [date and time], through the Dashboard.

Come and say hello.

No sales pitch. Just a conversation about your business and how we might help.
